PF / ESIC rate of deduction for both Employee & Employer contribution

The Provident Fund (PF) contribution is 12% of PF Wages from both employee and employer. For the calculation, the maximum limit of Basic is Rs 6500/-. It means even if the employee’s PF Wages is above Rs 6500/-, the employer is liable to contribute only on Rs 6500/-, that is Rs 780/-.

However if an employee so desires he may voluntarily contribute more than 12%. Apart from it an employer also has to pay some administration charges. The various accounts of PF Challan are as mentioned below.

PF admin charge = Employer has to pay 1.1 % of pf wages
EDLIS: Employer has to pay 0.5% of pf wages
EDLIS admin charge:Employer has to pay 0.01% of pf wages.
Hence, total additional percentage employer has to pay is rupees : 1.61% of basic so employer has actually to pay 13.61 % of Basic and employee has to pay only 12% of pf wages.

Employees complete 12% goes to PF account while employer contributions’ 8.33% goes to Pension Fund and 3.67% goes to PF Fund.

Employee State Insurance Corporation(ESIC) is deducted on gross salary which is 1.75% from the employee contribution & 4.75% from the employer contribution.

      3600 INR. will be deducted from your total CTC or 1800 INR. from Gross salary. 3600 INR. is the highest amount can be deducted from CTC of an employee.

      YOUR BASIC PAY IS 18125 AND PF AMTDEDUCTED AS PER BASIC SO YOUR PF DEDUCTED 2175 AND ESIC IS 1.75 COST 317.18
      YOUR TOTAL DEDUCTION IS 2175+317.8=2492.18
      AS PER CTC 24167 , THEN YOUR ACCOUNT CREDIT 24167-2492.18=21674.81

        the pf deduction amount will be:
        2175.00 (12% – Employee contribution)
        2356.25 (3.67%, EE + 8.33%, EPS, + 1%, EDLI – Employer contribution)

        ESIC deduction amount will be:
        136.31 (.75% – Employee contribution)
        589.06 (3.25% – Employer Contribution)

        Professional Tax deduction: 130

        So the in hand payable amount will be: 24167- (2175 + 2356 + 136 + 589 + 130) = 18781.00

      You have to be clear about your gross pay & basic pay both.

      Pf deduction amount is 12% of your basic salary, and the ESIC deduction amount is .75% of your gross salary.

      If your basic salary is 7000, the pf deduction amount should be 840 (12%), not 990.

      Employer contribution will be same as you. 12% + 1%(EDLI charges)

        PF will deduct on your Basic salary not net salary, your info. is less. ESIC will not deduct in this case. if u get this ctc per month ur income Rs.2,38,056 is not taxable. for any other taxes.

      The maximum limit of pf is 15000 of basic salary. So your pf would be cut on 15000.
      Total 24% pf deduction is applicable 12%from employee side and 12% from employer side.
      Your side pf deduction is 1800
      And employers side deduction is 3.67 ie 550.5 and 8.33 % of employer side would be deducted for EPS for which you have to work in 10 years in certain company
      And yes 1% extra would also deducted from your salary ato 0.5%EDLI and 0.5% admin charges and it is mandatory.
      So total from employee side pf deduction would be 13% and in yours case is 1950 and plus employees side that is 550.5 which is 2500.0

      And you are not coming under ESI benifits as it requires less than 21000 which includes basic salary, da, hra and other allowances.

        Nope, it’s not an appropriate answer. 15000 is the mandatory limitation for EPF, still if his/her basic salary is the more than 15000 and his/her employer still wants to contribute, he can.

        For ESIC the same thing, above 21000, employers wish.

    How much PF Deduction on basic. PF and ESI applicable or not applicable.

      for above 21,000/- fixed gross ESI is not applicable and PF is Deducted on (Basic + DA) i.e., 8750+8750=17,500/- for
      employee contribution 12% =2,100/- and
      Employer Contribution is 12%(8.33% to (Rs.1458/-) pension account and 3.67%(642.25) PF contribution)

      in your case Total PF Salary is 17,500/- but PF Maximum(supreme court gave judgement that there is no salary limit for pension account but at present it is not implemented) Pension salary is 15,000/- so on that pension account you should only deposit 1250/- and remaining goes under PF Contribution.

      on on your salary

      employee contribution : 12% = 2100/-

      Employer Contribution :3.67%+excess amount on Pension Account =850/-(642.25+207.75)

      pension contribution :8.33% (not Exceed 1250/- ) = 1250/-

      As per your mention deduction of EPF is 1800/- so your basic salary is 15000 or as per your deduction of Esic & professional tax are Rs.550/- is 350 is esic contribution which deduct on gross 20000/- and professional tax is 200.

    A local authority is engaging manpower for cleaning of drains/sanitary works on daily basis and pays to the workers monthly based on the mandays they have worked (say Rs 300 X 28 days per person). So no basic salary, DA are involved. In this case what amount should be taken for calculation of PF, ESI… Entire 8,400 to be considered or a different amount to be taken for calculation of PF and ESI? But the placement agency deduct the PF contribution amount on Rs. 15000 basic, while my basic is above than 15000.       pf deduction only last 15000 only If ur salary is below 15k so it is calculated on that salary but your salary is exceed 15k so its base value of 15000 only which is 1800

      No, it is worng. Employer can only deduct employee PF part from employee’s salary. Employer’s PF part is added in PF account directly the same amount of employee.

      Now, the PF rule has been changed. PF is calculated as
      PF=(Gross – HRA) X 12%

      It is not clear whether your salary of Rs.15000 is gross of CTC.
      If it is gross then your PF deduction will be Rs. 1080 and ESI
      will be Rs.113/- (0.75% of Rs.15000/- as per revised rule)

      Asper provisions of labour laws the contribution of employee @ 12% goes Directly to EPF
      But Employers contribution is being bifurcated, i.e 8.33% to pension fund subject to Max.1250 and 3.67% goes to provident fund, excess of pension fund From 1250 is transfered/added to provident fund….

      Your calculation is correct. But as per the revised rule of ESIC, the calculation is 3.25% as employer contribution and 0.75% is employee contribution on your gross salary.

      Hi there is also a contribution of EPS which is Pension scheme and submitted by the Employer separate from your PF contribution Calculation is as under

      Basic 10000
      PF from Employee:- 1200
      PF from Employer:- 3.67% of Basic= Rs. 367
      Contribution for Pension from Employer :- 12% of bacic- 3.67%= 8.33% = Rs. 833 which seprate.

    I have query, i had PF in my previous company and i did not withdraw any amount from it, now after 2 years gap my current company is starting PF, but the HR is saying that i would have to withdraw the amount from last PF as we are opening a new one. If i don’t withdraw and just transfer over here then the liability(Both employer & employee) would be on me from May 2018 (as they are showing registration from May’18), but i joined the company in July’18. If i withdraw then there will be no liability on me with new account, because they are starting pf from Jan’19. But i have doubts that how is it possible that liability would be from May’18 for old and not for new?

      As per income tax rules Esic deductable gross salary should be Rs 21000/- or lessthan 21000.

    My salary is 19k and i know that i am under ESI scheme, employee has to contribute 1.75% of his gross salary and employer contribution 4.75%.

    my query is, does employer contributions(4.75%) also deducted from employee salary? because in my case i am contributing both 1.75% & 4.75% from my salary, my organization is deducting the employer contributions from my salary, please help me in this whether they are right to deduct or not?

      Yes the employer can deduct it from your salary depending on the Declarations in your appointment letter. If your appointment letter states that the deductions would be done from the total CTC provided by the company then they can do so.

      Dear Sir,

      Please check with your HR may be your company deduct both contribution like employee and employer from your salary it’s fully offense.
      I think its apply on your salary.
      Your basic salary Rs.12500.00 and HRA Rs.3500.00
      So, PF Contri. Basic 12% Rs. 1500.00 (Employee)
      PF Contri. Basic 12% Rs. 1500.00 (Employer)
      ESI Contri. Grosee 1.75% Rs.280.00 ( On amt Rs.16000.00)
      Total = 1500+1500+280=3280.00
      Please check and ignore. If, any mistake.

      There is ceiling wage limit for both PF and ESI. For PF 1500 which means 1800 and ESI 21000. For PF HRA is exemption. Esi have to calculate from gross. If the employee gross is more than 21000 he is exempted from ESI. IF the employee basic more than 15000 he’s exempted from PF. But make sure that the employee before that or previous organaisation he’s not a part of PF.

      CTC can be calculated from both employee and employers contributions.

      CTC employers calculating total cost of an employee that includes PF, ESI, PT, gratuity.

      Gross salary is employee earnings in that month. So employers calculating only employee earnings which as basic, DA, HRA, and other allowances.

    Please help me about the below issue….

    As my Basic+DA is more than Rs.15000 (i.e.Rs.17500), employee is not mandatorily contribute to PF. & I was not a member EPA A/c. before.

    My basic salary + DA together is Rs.17500, which exceeds Rs.15000, inspite of that, my employer is deducting Rs.1800 (i.e.12% on Rs.15000) as PF contribution.

    I have heard that, if the employee’s monthly salary (BASIC SALARY + DA) exceeds Rs.15000, its optional to employee to contribute to EPF A/c AND employee was not a member of EPF a/c. before.

      your should ask your employer to have your UAN no. Once you get your UAN no, then you can check your PF contribution online. But before that you have to activate your UAN. you can download EPFO app in your mobile and then you can check your PF passbook. But for that you should have your UAN no.

      For ESI ask your employer to get your TIC form, which a employer will generate for your by his employer login.

      For the PF deduction, the maximum limit of salary of the employee is Rs 15,000 per month. This means that even if the employee’s salary is above Rs 15,000, the employer is liable to contribute only on Rs 15,000 that is Rs 1,800/-(12%). But you said your company deducted 24% that mean employer contribution also deducted from your salary..under section 6 of The Employees provident Fund and miscellaneous provisions Act, 1952. Maximum deduction is 12% of salary(Basic+da).

      Dear Reena,
      You need to check that whether the salary you are getting is your In – hand salary or CTC. because most employer’s take employer PF contribution in CTC. which is not wrong or illegal. In case of CTC there would be deduction of 24% from your CTC. So check in your offer letter and with your employer

    PF Calculation depends varies from company to company. Some company calculate from Basic, some from Basic and DA and some from Basic+Other All.

    If it is only from Basic, then 12% of Basic i,e Employee contribution. Check if they are including the employer contribution in your ctc or not.

What I know is the employee is liable to pay 12 percent of his/her basic salary. However, my employer is forcing the employees to pay the 25 percent from their salary, So the employer can do that?       Your Employer Can Not Force You To Pay 25% Because The Limit Of Paying Provident Fund is 12% for Employee And Employer And The Limit is Minimum.However You Can Pay Beyond 12% But Not Mandatory For You And ESI Limit For You Is 1.75% of Wages.So Altimately You Have To Pay 13.75% ,You May Pay Beyond That But your Employer Can Not Force You To Do This.

      In the case of PF Contribution 12% Of( Basis & DA ) ie. in your case

      My CTC is= 16000/-
      my basis salary- 5600
      HRA- 2800 ???
      HRA Is Not Part of PF Contribution. Hence PF Amount is Equal to (5600×12%) ie. 672.

      and for ESIC 1.755 Of gross salary Employee & Employer contribution is 4.75% Of Gross Salary.

      But Check your HRA & DA Not Same ???

    I am working in a private school as a computer operator. My salary is 11000 per month. From the month of April 2017 management said that 25% will be deducted from salary as PF deduction. I oppose this illogical deduction. They are increasing 13% of salary i.e. my salary will be increased 1430 and I will get 11000 + 1430 = 12430. Now they are deducting 25% of 11000 i.e. 2750 now I will get 9680 per month. I am not understanding this calculation.
    Before increment, I am getting 11000, after an increment of 13% I will get 9680. What an illogical thing? There is no basic salary in this school.
    Please explain the deduction of PF and ESIC according to my salary. They are showing the entire deduction as PF only and not ESIC. Now after increment what amount will come in my hand, please explain?

      PF deduction is 12%for employee and EPF+EPS is 13.36% for employer. So the management must have thought of showing the entire amount(both employee and employer part) as a part of your CTC. PF is calculated on basic salary. The upper limit for PF is basic salary of Rs.15000/-.
      For ESIC, employees contribute 1.75% of their gross salary and employers contribute 4.75%. The upper salary limit for ESIC is a gross of Rs. 21000/-.

      Hi,

      ESIC has just increase the slabs from 15000 to 21000 (basic of your salary), however no changes ar made in rate for 1.75% from employee’s part. If in case, you are being charged more, please check your offer letter before compalining to labour welfare ministry.

    My gross salary is 20,000/- As per ESIC rule my contribution as a employee should be 1.75% and employers should be 4.75%. That means my contribution should be Rs. 350 & and employers contribution should be Rs. 950. But our company all changes of RS. 1,400/- deducting from my salary. So, this is correct. As well as they are saying that government want a contribution. There is no matter what is the correct way. So, pls. Suggest that they are doing right? What is option with me as a employee.

      Hi,
      Your ESI deduction is 1.75% of 19166 (ie INR 335) and employer contribution is 4.75% of 19166 (ie 910).

      The employer PF will be borne by the employer.

      This is generalise but may vary according to company policies.
      CTC includes all your salary components + all statutory deductions (PF, ESI if applicable and PT if applicable).
      Gross salary means CTC – employer PF contribution (13.61% of Basic + DA) – ESI of 4.75% (ESI is applicable if your gross is less than 21000)
      Take home means Gross Salary – employee PF contribution (12% of Basic + DA) – employee ESI contribution (1.75% of your gross) – PT

    Hello Sir,

    My gross salary is 20034
    CTC is 20700,
    Basic salary is 5000,
    as per new role my company said i will get 17917.29 (take home)
    As per my HR deduction are as below
    PF (5000 * 25.61%) 1280.5
    ESI ( 20034 * 6.5%) 1302.21
    PT 200

    So total deduction is 1280.5 + 1302.21 + 200 = 2782.71

    Is this true or my company try to make me fool?
    My HR said employee side and employer side both will deduct from my end.

      Dear John,

      The contention of your HR is wrong.As per the rules only 12% of PF and 1.5% of ESI has to be deducted from your salary and 13.61% of EPF and 4.75% of ESI amounthas to be paid by your employer

        CTC means cost to company which includes everything that company will spend max on you in a month.. This also includes all statutory deductions like PF, ESI and PT.
        However, sometimes companies don’t include these amounts in CTC.
        So here if your company excludes employer PF part from your CTC, then they will reduce your CTC by 13.61% of basic amount (employer PF contribution) 5000*13.61% = 680…
        So your CTC would be 20020 + 680 of employer PF contribution..
        So don’t be under impression that you should have got 20700 CTC + employer PF contribution.

      As per govt rule esi limit was 15000/- Rs up to the month of december 2016 and it is increase from 01.01.2017 to 21000/- Rs so as you said your salary is 16000/- so it is necessary to deduct the esi on this amount from 01 jan 2017.

    Iam a employee of Urban Co-op Bank.Monthly Iam contrubuting towards my PF (ie 12 % of Basic+DA) of Rs.6365/- and Bank also contrbuting 12 % of Rs.6365/- in this amount Rs.1250 is going to my Pension fund and remaining amount of Rs.5115/- going to myemployees Accountant.This practice is running for the last 25 years
    Now our Bank informed that induecourse Bank will contrubute its contrubution 12 % only on 15000/- .

    Iam Co-op Bank employee . my basic salary and DA is Rs.53040/- Bank deduct employee PF contrubution 12% ie 6365/- and Bank contrubution is Rs.6365/- in this amount Rs.1250/- credited to Pension scheme and remaining amount of Rs.5115/- credited to my PF account.this procedure is in our bank for the last 25 years.
    Now the bank informed us that The bank will only contrubute 12% Rs.15000/-
    not on our basic salary and DA.
    Please guide me in this regard.

    Dear Sir, In our Company we have only 5 Laboures and we have not applied for ESI and PF registration. We have recently completed a small construcion job ( 2 LAKH INR) at Factory in 40 days. Now as we have taken a job from Principal Contractor so now they are saying you have to provide the proof that ESI and PF is not applicable for your Firm. Proof like Attendance Sheet, Identity Card and Salary Slip with Stamp & Signature for those 5 laboures who have worked on that site. We provide the wages in cash to our laboures. so kindly help what is the correct procedure, is it necessary to submit all those documents to Principal Contractor. In case we don`t provide the documents how much amount they can deduct from our payments. We have only Service Tax No. for our firm…

      Hi Ravinder ,

      As per ESI Act the maximum wage limit is Rs.15,000/- Gross Salary(Inclusive of all allowances).

      So, you are not eligible for ESI.

      your basic salary will be 50% of total ie. 12000 and your maximum deduction will be 12% from your part only.Rs.1440 and equal amount is payable from er part but he cannot deduct this from your salary as per govt rules, you may case in labour court about this. or contact me @9015331594, delhi

          20000 is your salary, Baisc is 40% of salary i.e.20000×40/100=8000(Basic) & PF is 12 % of Basic i.e.8000 x 12/100= 960 (Employees PF contribution)

          Hence it is right on your part and you need not to worried if you have evidence of PF deduction from your salary (Keep all pay slips with you since the PF deduction has been started)

      Dear Arun Gupta, As per PF act Employer’s and Employee’s contribution are 12% of each party and this 12% component will be from your basic salary only. So first see your basic salary and calculate 12% that will be your contribution for PF and also same will be from Employer’s contribution.

    main contract basis kam karta hoon, Meri salary monthly 8600/- hai, hum from maharashtra se hai, aur hum mahle engine chennai ke under contract basis working karte hai, hamara PF directly chennai se Cut ho raha hai, UAN number bhi mila hai,

    pls confirm, kya ye sahi hai, ki hum maharashtra se working karte hai, aur pf chennai se cut ho ta hai, isme kuch problem to nahi hai. Aur employee or employer rate kya hai, kitna % cut hona mangta hai.

      If your Salary (Basic + DA) is INR 23,500/- then you have to contribute 12% (INR 2,820/-)
      But your Employer can contribute 12% of INR 15,000/- (Employer limit is INR 15,000/-) that is INR 1,800/-

      Employee 12% (Basic+DA) = No Limit
      Emploeyer 12 % (Basic + DA) = INR 15,000/- is the Limit

I’m not clarify how much they deduct my PF & ESI. Please clarify me ASAP.

        It depends on the Total Income drawn by u during the previous financial year. It will be the base. Supoose Govt. declares tax limit of income for female employee is 2.5 lak . Expect you are likely to draw a gross income from all sources either employment or from other investments etc shown to the main tax deductor ( your employer) as 8 lak. Then first 2.5 lak income for the current fiscal year will be exemptd from tax net and the remaining amount will attract the tax (8-2.5 lak= 5.5 lak) thus Tax at the rates of income applicable to various slabs of taxable income , will be deducted on the remaining amount at your Source of income i.e. your salary in monthly instalments . Hope u r clear now.

    1) we working on contract basis with different scale of salaries. A is working for 7500 salary, B is on 11000 and C is on 15500
    my question is what will be rate of calculation for PF, ESIC and PT.

    2) if a employee is getting more than 9000 and below 15000. then PF deduction will be fixed or it will be count on basic rate and what will be rate.

    3) Our agent tells us that PF deduction rate should be higher if you getting salary more than 9000 or above. he calculated PF deduction on basic of 9000 for 12000 salary and 10000 for 15000. is it right.

    Dear Sir, I am an employer, suppose I have two employees A and B, both have similar salary structure ( basic 35000, HRA 15000, Sp allowance 20000 per month = Rs 70000/month), Now for A, we are deducting his and our contribution of PF on a restricted basic of 25000 ( employee contribution Rs 3000 and Employer contribution also Rs 3000), while for B, we pay PF on Rs 50000 (Rs 6000 each as employee and employer contribution). Now my question is that in both cases, while computing TDS, will we consider employer contribution as taxable or tax free? To clarify, for A, Rs 3000 employer contribution and for B, Rs 6000 employer contribution will be taxable or tax free. Please guide.

      Employer Share 12 % ( 3.67 % Deposited in EPF Ac of Employee & 8.33 % Deposited in EPS ( Employee Provident Schem) …………. So your PF Balance ( 12 + 3.67 = 15.67 % )

      not exceed Rs.15,000/- per month, are eligible to avail benefits under the Scheme.
      If monthly Remuneration exceed 15000/- per month then ESI will not be Deducted.

      PF cont. of Employee is 12% and same 12% of Employer’s, Adm Charges 1.16%. paid by employer

      ( Employees complete 12% goes to PF account while employer contributions’ 8.33% goes to Pension Fund and 3.67% goes to PF Fund. )

      It,s cost to company.

      If. Basic salary Rs. 10000/ & P. F . Rs. 2400/- ( Both Rs.1200/- Emplyee & Rs. 1200/- Emplyer)
      Your take home salary Rs. 8800/-.
      But cost to co. Rs. 11200/-.
      Your’s saving Rs. 2400/- .

      But as per govt rule basic salary more than 6500/- no need to deduct and ESI 210/- is right and PT amount is 150/-

        Dear,

        You have to opt for PF option at the time of Joining. If you don’t want PF deduction then you have to fill up PF Form 11 (PF Exemption form) and form 2 for PF deduction.

        So you would have opted for PF deduction and your PF is getting deducted accordingly.

      Hi Sandeep,

      I think your employer is correct in deducting EPF and ESI.
      I say this considering Rs 10139 as your basic wages.
      If Rs 10139 is your basic wages employers contribution towards PF & ESI will be at 13.61% & 4.75% which equals Rs 1380 and Rs 480, which employer is rightly contributing.

      He is deducting your contribution towards EPF & ESI at correct rates and salary payable to you after these deduction will be Rs 8745. (I am not considering PT deduction)

      Note that your basic wages are not Rs 12000 but Rs 10139

      Regarding EPF and ESI under contract,
      AS PER MY BELIEF AND KNOWLEDGE,
      Contractor is liable to deduct EPF & ESI of his employees. but this liability can be transferred to the person hiring contractor for the contract work through an agreement between them.

      “Basic Wages” defined in Section 2(b) and Section 6 read with para 29 of the EPF Scheme, 1952, the allowances paid under different heads be taken into account except house rent for the purpose of calculating the Provident Fund liability to the extent of existing ceiling of Rs.6500.00 per month up to August, 2014 and thereafter up to Rs.15,000.00 with effect from 1st Sept. 2014. However, in my opinion, the House Rent Allowance be also restricted up to 30% of the basic wages and all other allowances be merged with basic wages. In case, an employee is drawing basic wages up to l5000 and contributing Provident Fund up to the ceiling limit of Rs. l5000, then there should not be any restriction of paying conveyance and other allowances to such highly paid employees.

      However, in most of the cases, the establishments/firms/Cos. are paying P.F. contribution on “Basic Wages” only and in certain cases, Basic Wages are being shown as low as 1/3rd of the gross salary which is not in line with the regulatory norms & needs to be restructured. If u splited under different heads), it will not be acceptable to the Department.

      a) Basic salary is one of the component in Gross salary and the basic salary is taxable
      b) PF calculation based on the Basic salary but not on Gross salary
      c) procedure is same for both PF & ESI but in different platforms.
      d) wages register, fines register, damage register, deduction register, advance register, accident register, attendance register, muster roll, visit register, etc…

        No contribution should be both from employer and employee side. 12.36% on 15000 basic salary which includes DA also is mandatory to employer contribute and employee may contribute above 12.36% is optional
